Frequently asked questions about invoicing
Client and project info, phase or task, dates of service, approved hours and rates, percent complete if used, reimbursable expenses, taxes, retainage, and payment terms.
Fixed fee bills an agreed amount by milestone or schedule. T&M bills approved hours and expenses. Percent complete bills the portion of each phase that is finished.
Monthly for most projects. For fast-moving work, biweekly helps cash flow. Invoice right after approvals so details are fresh.
It is a small withheld amount, often 5 to 10 percent, held until later milestones or closeout. Show retainage clearly so both sides track what remains.
List each expense with date, vendor, description, and project. Apply the agreed markup, attach receipts, and separate them from labor on the invoice.
